The Human Resources Assistant for Physician Recruitment performs multiple tasks that encompass assisting the recruiters, applicants and employees.  Duties include creating, organizing and maintaining records, databases and is responsible for information reporting.  In addition to the primary area of expertise, the Human Resources Assistant for Physician Recruitment is responsible for coordinating advertising efforts and locum tenens logistics.

Special Criteria Details

Approximatly a 10 week assignment.



  1. Receives incoming phone calls and customers to division, responds accurately to questions or redirects as appropriate.
  2. Maintains employee files, name badges and other general systems.
  3. Continuously improves systems to ensure efficient work flow completing work by established due dates.
  4. Works independently on special projects.
  5. Is knowledgeable regarding HRIS, Word, Excel, iCIMS, Ringo and other appropriate computer software programs in answering questions and generating information.
  6. Provides front desk coverage / file pulling.
  7. Coordinate and attend meetings as necessary.
  8. Process and track check requests/invoices.
  9. Other duties as assigned


  1. Checks applications for completeness both hard copy and on-line.
  2. Maintains required records and data bases and statistical data for employment activity and other reports as required.
  3. Assures completeness of applicant documents including new employee personnel files and HRIS database.
  4. Maintains an updated job posting system, consistent with policies and the collective bargaining agreements, and needs of the hospital.
  5. Assists in advertisement placement, tracking and accounting functions.
  6. Coordinates logistics of contract, travel, locum tenens and other temporary employees.
  7. Assists in setting up for job fairs and long-term recruitment initiatives.
  8. Able to verify licenses/certifications on-line, by phone or in writing as required
  9. Schedules interviews and distributes information, updating appropriate databases and calendars as necessary.
  10. Provide new employees with hospital and community information to aid in their relocation process.
  11. Coordinate new physician welcome reception.
  12. Other duties as assigned.


  1. High school diploma with two years of recruitment related Human Resources experience required.
  2. Personal computer and word processing ability required; Excel and Word preferred. 
  3. Ability to type 35 wpm preferred. 
  4. Must have excellent interpersonal, communication and customer service skills. 
  5. Must be highly organized, service and detail oriented and able to maintain confidentiality.
  6. Must have ability to set priorities, multi-tasking and work independently with minimum supervision.
