Overview

The Trauma Registrar is responsible for maintaining the Hospital Trauma Registry. This includes all performance improvement issues related to the HTR including system upgrades and data analysis. The Trauma Registrar acts as a liaison with the Trauma Medical Director, Trauma Program Manager and others to provide reports of HTR data as approved by the Trauma Medical Director. The Trauma Registrar is responsible for comprehensive data collection, coding, and data entry for all trauma related admissions and transfers. The Trauma Registrar collects trauma related data for injury research, epidemiology, and performance improvement.  The Trauma Registrar also provides secretarial support to Trauma staff as appropriate.

Responsibilities

  1. Collection and validation of accurate comprehensive data relating to patients with injuries.
  2. Identifies injured patients through monitoring daily admissions, Emergency Department Log and Discharge data.
  • Completes accurate and timely computerized entry of information into HTR.
  • Acts as gatekeeper for additions, adjustments, and deletions to the data dictionaries.
  • Assists in the accurate coding of etiology of injury, patient injuries, and operative procedures utilizing ICD-9-CM, ICD-10, AIS, and ISS coding schemes.
  • Abstracts information for completion of patient data via online systems and patient charts.
  • Participates in Professional development to assure advance skills and knowledge of trauma data information systems as mandated by the American College of Surgeons.
  • Provides timely submissions to National Trauma Data Bank, TQIP and New York State.
  1. Participates in Trauma Care Performance Improvement by compiling statistical information and preparing reports from the Trauma Registry.
  • Designs and generates various reports from the Trauma Registry according to department needs.
  • Initiates and maintains correspondence with other acute care institutions for follow up of patients transferred for tertiary care.
  • Collects and reports data on required quality improvement filters.
  • Prepares and submits data to outside agencies when requested by Trauma Director.
  1. Provides maintenance of the Trauma Registry
  • Performs routine computer maintenance, including file backups as necessary.
  • Monitors vendor performance to ensure the efficient and effective use of the Trauma Registry.
  • Works as a liaison between vendor and Information Services for backup and technical support of the software.
  • Ensures quality of registry data through performance of data verification procedures.
  • Maintains a log of registry changes.
  1. Provides clerical support to Trauma Coordinator and Trauma Case Managers.
  • General clerical duties as requested including typing, faxing, ordering, copying etc.
  • Coordinates re-verification visit by the American College of Surgeons.
  • Other duties as assigned.
  1. Education
  • Maintains continuing education on registry updates and report writing.
  • Participates in monthly educational experiences via TQIP.
  • Attends Trauma Registrar course at least once.
  • Attends AIS scoring course and monitors for changes.

Qualifications

  1. High school diploma required.
  2. Associates Degree in business or healthcare related field preferred.
  3. Trauma Registry Certification preferred and recommended within 24 months of hire. 
  4. Upon hire must be enrolled in medical terminology course and complete the course within 3 months of hire required OR have medical terminology certificate or have completed anatomy and physiology course as evidenced by transcript with “C” or better grade required.
  5. Microsoft Excel and Word Course Certificates required, or evidenced by passing a CVPH test requirement.
  6. Must pass a data entry test with an accuracy score of 95% required.
  7. Upon hire must be enrolled in a basic coding course and complete the course within 3 months of hire required or have basic coding course certificate or transcript required.
  8. Must complete a Trauma Registry course within 12 months of hire.
  9. Must complete AIS scoring course within 12 months of hire.

As applicable, the individual has training/competency in attending to the special needs and/or behaviors appropriate to the age of the patients for which care is being provided.
