The Patient Logistics Dispatcher is responsible for providing organization, coordination and prioritization of support service requests including internal transportation, Patient discharge and Patient Equipment requests through the Transport Tracking and Bed Tracking applications. Directs the activity of the transport and environmental service and staff, ensuring timely completion of tasks; monitors procedures related to availability and completion task, follow up on issues related to service and operations.


The Patient Logistics Dispatcher will be working as part of an established team consisting of ADT Case Managers or RN’s whose emphasis is on delivering high quality customer service and expertise across the spectrum of Support Services. The employee must be mature, dependable, patient, and possess excellent verbal and written communication and interpersonal skills.  The employee will become familiar with customer needs and will match the appropriate service to meet their requirements.


Receives and prioritizes a high volume of requests


  • Dispatches staff in an efficient and timely manner as needed based on departmental procedures.
  • Utilizes problem solving skills and shows initiative to ensure that service goals are met.
  • Provides general direction to staff transporting patients or items and cleaning rooms.
  • Acts as the command center for facility wide support service dispatching.
  • Utilizes information received from other healthcare staff and other departments to balance needs with available resources.
  • Logs and tracks requests in software systems to assure they are assigned and covered.

Assists ADT Case Manager or RN fielding phone calls for continuous Patient Flow

  • Assists with intake calls when the Coordination Nurse is unable to immediately take the call by obtaining basic intake information and the call back information and hand off to RN as soon as possible.
  • Uses intake forms to document information for review with the Director/PCC to assist with determining/assuring appropriate transfer of patients.
  • Obtains and accurately enters all data related to a specific patient visit which includes; Attending, Admitting, Referring and Primary Care Physician information; Admitting Diagnosis code.
  • Advise physicians/facility as to bed availability.
  • Call patients at home with ready beds: Call sending institutions with ready beds and assignments when required, if necessary.
  • Keep all participants informed as new information becomes available. Use test paging whenever possible to reduce telephone interruptions.
  • Collects data and monitors accuracy and timeliness of patient placement; escalating to the Director/PCC when warranted. Identifies and communicates barriers to the process.

Performs other duties as assigned.

  • Receives and processes incoming phone calls, faxes, deliveries and e-mails.
  • Follow procedures that impact other departments, such as Infection Prevention, Nursing Units, Physicians, Environmental Services, Facilities, Patient Transport, HIM and others.
  • Participates in quality improvement projects.



  1. High school diploma or equivalency is required.
  2. Computer skills applicable to position specific responsibilities required.
  3. A high level of sensitivity with positive interpersonal oral and written skills and effective verbal/listening communication skills required.
  4. Previous Call Center/Dispatching experience fast paced customer service or medical environment such as patient scheduling and computerized data entry required.
  5. Completion of MS Word, Excel, and database experience as evidenced by CVPH test requirements.
  6. Familiarity with multi-line telephones, email and currently utilized computer applications by UVM-CVPH.
  7. Working knowledge of medical terminology required.
  8. Analytical ability to identify problems and issues and to provide resolution.
  9. Ability to perform multiple tasks in a stressful environment required.
  10. Ability to work in a team environment required.
