  • Overview

    The Charge Posting/Front Office Specialist works under the supervision of the Practice Supervisor and is responsible to ensure accurate and timely completion of the duties and responsibilities of the position while complying with HIPAA and CVPH confidentiality policies. S(he) is responsible to ensure maximum reimbursement from third parties through accurate and timely charge posting of services. S(he) will provide excellent customer service to external and internal customers. S(he) will cover front office reception as needed. Regularly use independent judgment to interpret and apply policies, procedures and practices.


    1. Accurately charge post patient office services ensuring all visits and services are accurately posted in GE Group Management practice management system daily within 5 days of receipt.
    2. Check all patient’s insurance for the day, making sure the correct insurance is in GE Group/Checking insurance company websites for pre-authorization changes for office procedures and injectable medications, obtaining them for any office procedures when needed.
    3. Reconcile all transactions posted in medical practice management system with encounter forms.
    4. Provide customer service to Patients on billing/insurance related matters as needed, as well as assist with any activation of patient portal.
    5. Resolve claims/billing problems as assigned.
    6. Generate claims for secondary and tertiary insurance coverage including documentation as required.
    7. Manage distribution and mailing of paper claims including documentation as required.
    8. Research, distribute and/or update patient demographic information on practice management system for mail returned due to bad addresses.
    9. Support front office reception as needed.
    10. Answering incoming telephone calls.
    11. Scheduling and rescheduling appointments.
    12. Greet, check in patients, and check out patients; scheduling follow up appointments and testing as needed.
    13. Balancing monies and receipts and reconciliation and documentation of cash drawer at beginning and end of each day.
    14. Matching up physician schedules with super bills.
    15. Collection of co-pays and outstanding balances including bad debt; documenting medical management system.
    16. Confirm upcoming appointments.
    17. Tidy up waiting room, change provider in sign to reflect the next day.
    18. Scanning records into the EMR.
    19. Other duties as assigned.


    1. High School graduate or equivalent
    2. Graduate of Medical Practice Technology program or some college preferred
    3. Minimum 2 years experience in healthcare setting
    4. Excellent attention to detail
    5. Very strong organizational skills
    6. Strong command of medical terminology and coding
    7. Good written and verbal communication skills
    8. Understanding and commitment to CVPH core values of teamwork, commitment, confidentiality and quality care
    9. Develop and maintain effective relationships with staff, patients and external customers
    10. Maintain confidentiality and supports the goals and objectives of CVPH
    11. Utilize available business technology to perform assigned duties
    12. Ability to make appropriate decisions with a minimum amount of supervisory direction
    13. Ability to type 40 wpm with no more than three (3) errors
    14. Proficient with adding machine essential with ability to perform various calculations quickly and accurately
    15. Excellent interpersonal skills
    16. Basic computer skills
    17. Experience with medical practice management software a plus
