Overview

The Clerk III performs designated tasks related to the support operations of the Rehabilitation Department. Such activities may include setting up treatment areas, maintaining treatment areas, preparing and cleaning equipment, clerical support tasks, general department cleaning and organizing for a safe environment and assisting therapy staff and patients in preparation for treatment. The Clerk III is able to independently and accurately enter charges, schedule patients, and receive co-pays. Duties also include back-filling occasionally for the person entering charges and working the error work list. The Clerk III’s primary responsibility is to work at the front desk at the outpatient clinics

Special Criteria Details

Employee cannot work more than 832 hours per calendar year.

Responsibilities

  1. Clean and disinfect patient care surfaces and equipment.
  2. Stock and remove linen, order linen as needed.
  3. Audit inventory of supplies and facilitate ordering of supplies.
  4. Escort patients to and from waiting area and treatment areas.
  5. Assist therapists with patient care, such as lifting, turning, standing, walking, cleaning patient, preparing patient for treatment.
  6. Perform pre-appointment calls to patients as requested.
  7. Perform post-discharge phone calls to patients as needed.
  8. Assemble patient charts.
  9. Receive co-payments.
  10. Post messages to staff on message board or other designated area.
  11. Answer the phone and take/pass on messages.
  12. Send, receive, and file faxes.
  13. Make copies, file/scan documents in charts.
  14. Pull, file, assemble, and audit patient charts.
  15. Schedule, cancel, and re-schedule patient appointments.
  16. Check patients in and ensure therapist know patient is present.
  17. Enter charges and check for accuracy.
  18. Ensure collection of all appropriate paperwork at first visit.
  19. Provide back-fill as needed for the person working the charge entry error work list.
  20. Other duties as assigned.

Qualifications

  1. High school diploma or equivalent required.
  2. College education preferred.
  3. Coursework in coding, medical terminology, or Microsoft Excel/Word preferred.
  4. Must demonstrate ability to follow complex instructions.
  5. Must have the ability to handle multiple tasks with proven accuracy.
  6. Must have the ability to communicate with patients and family members in an empathetic manner in support of rehabilitation goals.
  7. Must have the ability to communicate effectively and professionally with Rehab staff and other medical center staff/physicians to faciliate safe and effective patient rehabilitation.
  8. Candidates with previous experience in a rehab setting, including demonstrated ability to accurately enter charges, schedule patient, receive co-payments, and attend to multiple customers and tasks simultaneously will be considerred first, candidates who have previously worked as a Clerk III in other areas of the hospital will be prior to other applicants should no other candidate have previous rehabilitation experience.
  9. Must have demonstrated ability to work independently at the reception desk in clinic setting with high level of accuracy and productivity
