 Under the direction of the Medical Staff Recruitment Director the Medical Staff Onboarding Coordinator will be the main point of contact for newly recruited medical staff members, locums and staff from network affiliates who will be working at CVPH and AHMC. The Onboarding Coordinator is responsible for the management and oversight of the medical staff onboarding and off boarding processes. The Coordinator provides concierge-level service to our medical staff, to guide them through the required onboarding processes from offer acceptance to start date, including but not limited to tracking Medical Staff credentialing, pre-employment HR requirements, operational readiness, and relocation support. In addition this individual will provide administrative support in the functional areas of the department. Will build strong relationships and efficiently communicate with all levels of staff within CVPH, AHMC, as well as Network and external stakeholders.

A.    Coordinates and implements the multi-department onboarding/orientation process of all Medical Staff who are part of CVPH and AHMC locations.


B.    Works in coordination with site Practice Supervisor, Medical Director and Administrative Director to coordinate on site arrival of new medical staff member(s).


C.    Works with appropriate affiliate partners for the coordination of onboarding of UVMMG, AHMC and CVPH medical staff members. This includes network clinical specialty department contacts, UVMMC Medical Staff Onboarding Coordinators, Epic Training, UVMMC HR, AHMC HR and CVPH HR.


D.    Creates a schedule of introductory meetings for the medical staff to meet with specialty/primary care colleagues as part of our effort to develop early integration with the medical staff community.


E.    Responsible for communication of CAQH and NPI information for new hires at CVPH and AHMC.


F.     Will complete C& E intake forms, track the credentialing and enrollment process for new medical staff. Will work in support of the Credentialing and Enrollment Department to ensure timely processing.


G.     Completes employee paperwork process to include, IS access forms and completes Workday hiring process, etc.


H.      Coordinates community welcome packets.



I.        Collaborates with the lead APP (site specific) for planning and implementation of orientation and onboarding issues specific to APP



J.       Will be responsible for working with Urban Bound to facilitate the relocation process for medical staff as appropriate.


K.      Coordinates with newly hired NP’s to complete paperwork necessary for employment in accordance with the Nursing Boards.


L.      Maintains new employee spreadsheet, ensuring complete records for all new hires and send appropriate materials to affiliate HR offices.


M.     Maintains records and processes expenses associated with relocation and licensing for new hires.    


N.      Maintains Onboarding Manual which includes documenting SOP for orientation, medical staff licensing, loan repayment and new hire processing in Workday and other processes as appropriate.


O.     Maintains Medical Staff Orientation manuals in collaboration with Marketing, the lead APP (site specific) and Medical Staff Recruitment Director.



P.      Will assist with the Medical Staff Off-Boarding activities in collaboration with the Physician Services Manager, Practice Managers, and Administrative Directors.


Q.     Will help facilitate the off boarding process for medical staff leaving the UVMHN Medical Group.


R.      Orders supplies, process invoices, reimbursements for the department.



S.      Employees will perform his/her job in a safe manner as defined in any and all applicable AHMC and CVPH policies specific to the job including but not limited to policies addressing: Universal precautions, Use of PPE, Safe lifting/ergonomics, Handling of hazardous materials. 


T.      Notifies direct supervisor of infractions of policy, procedure, laws and regulations as they are identified.  Notifies supervisor’s manager of same if supervisor does not correct or resolve issue   within a reasonable time frame. Notifies Corporate Compliance Officer of any issues that continue to be unresolved.

  • Bachelor degree required.
  • 3 to 5 years’ experience in a Human Resources or customer service setting. Healthcare experience highly desirable.
